Setup & Dismantling
Our own crew installs and dismantles at Turkish fairgrounds; for builds outside Türkiye we work with partner installation firms. The delivery date is written into the contract: the stand is finished before the venue's build-up period closes, by the evening of the last build-up day. Where the window is longer we usually finish two or three days early, so you arrive to a stand that is already standing.

Stand types and construction systems
In the trade a stand is named first by its POSITION on the floor, then by its CONSTRUCTION SYSTEM. They are two separate choices: an island stand can be built in timber or as a modular system.
Which one you choose is largely decided by the budget: where the budget allows we recommend a bespoke timber build, and where it is tight, a modular system. We say which way we are steering you, openly, at the quote stage.

- Modular stand
- An aluminium profile frame with panels. It comes apart, travels, and can be rebuilt at the next fair.

- Octanorm
- A round-profile aluminium system with six channels. The uprights are 240 cm and the panels 96 × 236 cm. What a fair hands over as a “package stand” is usually this.
- Turkish term: Octanorm · shell scheme system
- Maxima
- A square-profile aluminium system with four channels. Standard heights are 3 m and 3.5 m, and extension fittings take it to 4.5–5 m. Panels are 50 cm high and 50 / 100 / 150 / 200 cm wide; walls are built by joining them. It is not the same system as Octanorm — the section, the channel count and the height all differ.

What is filed, by whom, and when
On a custom stand, half the work is production and the other half is a file that goes to the fair administration. Every item below is handled from Istanbul by us, and the quotation states in writing which item is ours and which is yours.
Project approval and occupational safety inspection
For a custom-built stand, fair management requires project approval and a safety review. We prepare that file and submit it; at most fairs the drawings reach the technical office about two weeks before build-up. Without an approved project a stand may not exceed 2.50 m, and an island stand with aisles on four sides must leave at least half of each face open. Whatever the organiser charges for these items sits inside our quoted price, together with the electricity fee — nothing new appears while you are at the fair.
Structural report
Above four metres, and for any double-decker, fair management requires a structural report: stamped and signed by a certified structural engineer, with a letter of undertaking beside it. The organiser names the firm that issues it and sets the inspection fee, and both change from fair to fair. Our part is to deliver the drawings and dimensions that firm asks for, complete and on time, and to show the fee in the quotation rather than after it.
Flame-retardancy certificate
Where flammable material is used on a stand, fair management may ask for a flame-retardancy certificate — that is the document's name, and it reaches the fair's technical officer before build-up. In Türkiye the practice varies from fair to fair; in Germany it is required without exception. We obtain the certificate together with the material at the moment it is specified, so it is already in the file when the hall asks for it. We do not commit to a fire class before the material is chosen.
Suspended structures (rigging)
Rigging is not available at every venue. At the exhibition venues in Istanbul it normally is not; it exists in Hall 1 in Antalya and at international venues. Where it does exist, the permit is at the fair administration's discretion. If your concept hangs anything from the roof, say so before the hall and the square metres are fixed — afterwards it is a redesign.
Customs, in both directions
Your exhibits come into Türkiye under an ATA carnet: the carnet stands in place of the customs declaration and the guarantee, and Türkiye has accepted foreign carnets for fairs through TOBB since 1975. For stands we build outside Türkiye we handle the carnet and the customs procedure with the broker and logistics firms we work with — the builds in Germany, the United Arab Emirates and Italy are in the portfolio with their credits.
How work abroad runs, and the credited buildsCalendar
Every fair has its own calendar. At Turkish fairs the paperwork and approval close one to two weeks before the doors open; for a fair abroad the process is finished one to two months ahead. Every quotation therefore carries a production and installation plan counted backwards from that fair's opening day — and when your own exhibits have to travel, that date is counted backwards too. To date we have not delivered a job late.
What the quote includes
Freight, installation and dismantling are inside the quoted figure; they are not billed again afterwards. So are the project-approval and site-safety fees the fair administration charges, and the electricity fee. What you see in the quotation covers the work from the stand going up on the floor to it coming down when the fair closes.
Invoicing, currency and VAT
Quotations are issued in euro, at the Turkish Central Bank rate, and the invoice follows the same basis. On VAT: Turkish withholding is a buyer-side rule that turns on the buyer being a public administration listed in the schedules annexed to Law No. 5018 — it is not a rule about stands. That is where to look, and it is not a tax opinion: confirm the treatment for your own company with your own adviser before the invoice is issued.
What happens to the stand after the fair
We do not store stands after dismantling, and the reason is arithmetic rather than space. Panels are damaged in storage; a replaced panel does not match the old colour, and the difference shows on the floor. Add the storage cost and keeping a stand comes out dearer than building it again — so we stay out of it. If you want the same design at the next fair, we produce it again.
